Job Summary
The Executive Assistant will work directly with the company CEO and executive management team. The Executive Assistant provides a high-level of administrative and personal support to the CEO. This person will be responsible for performing a number of administrative duties and personal tasks on behalf of the CEO and his family. The ideal candidate is highly self-motivated, professional, and capable of multi-tasking and managing their workload while prioritizing tasks in a fast-paced environment.
Key Professional Responsibilities - Approximately 85% of Time:
Strategically and logically, think and act on the executives’ behalf
Coordinate internal/external meetings including agenda creation, scheduling, follow through and follow up
Create, format, edit and finalize email communications with accuracy and high attention to detail
Manage and coordinate company wide events for all employees or other key professional groups the CEO may be involved in
Own or assist with strategic projects and special events with great organization, planning, and completion
Drive proactive calendar management to protect and maximize the executive’s time and eliminate disruptions
Manage travel arrangements and coordinate detailed itineraries, open to change, with flexibility and adaptability
Manage email system for CEO, responding to, tagging and triaging emails, and interfacing with clients on behalf of the CEO
Dictation as needed
Help CEO to prioritize workload
Maintain an organized filing system of electronic and paper documents
Manage/Submit expenses and related budgets
Assist other executive team members as needed
Other duties as assigned
Key Personal Responsibilities - Approximately 15% of Time:
Arrange and manage family travel arrangements and travel accommodations
Help with arranging appointments, payments, and orders for house maintenance and household items
Manage family events on calendar, make reservations as needed, and support in registering and tracking kids’ extracurricular activities
Assist in bill payment, car registrations, and tax filing as needed
Other duties as assigned
Requirements:
3-5+ years of experience supporting senior-level executives as an Executive Assistant, Personal Assistant or similar role
Excellent organizational skills with the ability to anticipate needs and priorities
Demonstrated experience using organizational tools, e.g. Google Suite
Demonstrated experience with process improvement and driving change to simplify and organize the work
Demonstrated experience communicating using tools and technology
Demonstrated experience showing high attention to detail
Ability to work under pressure and manage interruptions; must have ability to work calmly under stressful situations
Demonstrated experience of acting with urgency
Attention to detail, capable of proofing your own work and the work of others
High sense of confidentiality and professionalism
Excellent verbal and written communication skills and the ability to interact with all levels of the organization
Comfortable with complex documents (such as contracts and board documents) and taking proper action
Comfortable with technology including use of Google Suite, Notion, Asana
